BHS Corrugated North America is seeking a Field Service Administrative Assistant to join our growing team in our Charlotte, NC facility!

Job Description:

The Field Service Administrative Assistant will provide administrative and operational support to the Electrical and Mechanical Field Service (FS) Coordinators to ensure effective communication between customers and BHS Service. This task can include preparing quotes, requesting POs, creating job orders (SO), service notifications (SN), and time & expense approvals. This is an onsite position in Charlotte, NC, requiring 100% in-office work and up to 10% travel.

Job Responsibilities:

  • Create service notifications and generate service orders for Field Service Technicians and other departments as required.
  • Prepare and issue quotations in support of purchase order (PO) requests from customers and internal departments.
  • Assist customers with documentation needs, including timesheets, service reports, invoices, and international travel paperwork for technicians.
  • Support tool shipments by coordinating closely with the logistics team.
  • Provide technical support to Field Service Technicians by reporting digital platform issues to IT.
  • Generate system reports and data summaries for management analysis and decision-making.
  • Assist in the onboarding process for new service employees.
  • Review and cross-reference FSM reservations to ensure service orders are accurately created, technician assignments are correct, and scheduling conflicts are identified.
  • Collaborate with Electrical and Mechanical Field Service Schedulers to manage emergency quotations, urgent service orders, job changes, and billing corrections.
  • Communicate regularly with Electrical and Mechanical Field Service Coordinators to stay aligned on current and future schedule planning. Proactively report customer cancellations, rescheduling requests, and technician availability issues.
  • Provide general support to the scheduling team and participate in cross-functional projects as assigned by Service Managers or the Service Operations Manager.

Job Requirements:

  • High School Diploma or equivalent experience.
  • Ability to communicate well with employees and managers.
  • Strong customer service skills.
  • Experience with Microsoft Excel and Word is required.
  • Ability to work independently without direct supervision.
  • Excellent organization and time-management skills.
  • Strong attention to detail and accuracy.
  • Proficiency in using scheduling software and tools.
  • Must be able to sit for extended periods, work on a computer, occasionally lift up to 15 pounds, and travel up to 10% as needed.

This is a full-time position offering a salary of $45k - $54k per year, plus benefits as seen below:
