Position Details :
Position Title: Office Manager
Working Hours: Office Hours typically 8:30 am - 6:00 pm
Reporting to: Practice Owner
Responsibilities :
As an Office Manager at Aesthetic Dentistry of Manhattan, you will be responsible for managing office administration and office operations. Your primary duties will include:
1. Office Operations: Ensure the office is prepared on a daily basis for patient care activities. Oversee appropriate measures and systems to maintain patient files, insurance correspondence, and medical compliance records, and organize office administrative materials. Ensure the patient appointment calendar is structured for efficient patient care.
2. Budget and Finances: Monitor accounts receivable, maintain timely patient billing systems, perform daily and weekly reconciliation of office collections
3. HR Responsibilities: Successful recruitment and hiring of personnel as needed, overseeing onboarding and offboarding of employees, and personnel performance management and review.
4. Oversee Treatment Coordination Program: Develop and institute a treatment coordination system that will provide effective treatment presentation, financial counseling, support in outlining treatment plans, effective follow-up, and consistency in continuity of care and recall for patients.
Qualifications :
- At least 1 year of prior administrative experience, ideally in a medical or dental office.
- Strong organization and time management skills.
- Excellent attention to detail.
- Exceptional oral and written communication skills.
- Proficiency in Microsoft Office/Google Office Applications, and Dental Practice Management Software (Dentrix or comparable software).
- Prior experience with financial tracking and accounting is strongly preferred but not required.
