Job Description

We are seeking a highly organized and detail-oriented Dental Office Manager to oversee the daily operations of our dental practice. The ideal candidate will have strong leadership skills, excellent communication, and a passion for providing outstanding patient care. This role involves managing administrative duties, coordinating staff, ensuring compliance with industry regulations, and optimizing office efficiency.

Key Responsibilities:

  • Office Operations & Administration:

    • Oversee daily office functions to ensure a smooth workflow.
    • Maintain office policies and procedures to ensure compliance with dental regulations.
    • Manage appointment scheduling and patient flow.
    • Handle billing, insurance claims, and financial reporting.
  • Team Leadership & Human Resources:

    • Recruit, train, and supervise front desk and administrative staff.
    • Conduct performance evaluations and provide ongoing support.
    • Manage staff scheduling to optimize coverage and productivity.
    • Foster a positive and collaborative work environment.
  • Financial & Insurance Management:

    • Monitor budgets, expenses, and revenue to ensure financial efficiency.
    • Process insurance claims, verify patient eligibility, and oversee collections.
    • Coordinate with external vendors and suppliers for office needs.
  • Patient Relations & Customer Service:

    • Ensure a high level of customer service and patient satisfaction.
    • Address patient concerns and resolve conflicts in a professional manner.
    • Educate patients on office policies, payment plans, and treatment options.
  • Compliance & Regulatory Responsibilities:

    • Ensure adherence to OSHA, HIPAA, and other dental industry regulations.
    • Maintain patient records with accuracy and confidentiality.
    • Stay updated on industry trends and legal requirements.

Qualifications & Skills:

  • Proven experience as a Dental Office Manager or in a similar administrative role.
  • Strong knowledge of dental office procedures, insurance processing, and billing.
  • Proficiency in dental practice management software (e.g., Dentrix, Eaglesoft, or Open Dental).
  • Excellent leadership, organizational, and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Knowledge of HIPAA, OSHA, and other healthcare compliance requirements.
  • Bachelor's degree in business administration, healthcare management, or a related field (preferred).
