Job Title: Executive Assistant to Dr. Jonathann Kuo

Location: New York City (Hybrid – remote and in-person)

Reports To: Dr. Jonathann Kuo, MD

Position Overview:

Dr. Jonathann Kuo, physician entrepreneur and founder of Extension Health, is seeking a highly capable, resourceful, and proactive Executive Assistant (EA) to support his dynamic and fast-paced personal and professional life.

This unique role is ideal for someone who thrives in a high-performance environment, anticipates needs before they arise, and operates with a mindset of excellence, discretion, and initiative. You will be instrumental in streamlining Dr. Kuo’s day-to-day responsibilities—ranging from calendar and travel management to supporting personal errands, social media coordination, and event planning—ultimately saving him time and maximizing efficiency across all facets of life.

The core principle: preserve time, elevate impact, and simplify complexity.

Key Responsibilities:

1. Calendar & Scheduling Management

  • Coordinate personal and professional calendars, meetings, and appointments
  • Anticipate and prevent scheduling conflicts
  • Assist with organizing business dinners, social gatherings, and internal/external events

2. Administrative Support

  • Handle day-to-day administrative tasks: correspondence, document organization, light project coordination
  • Interface professionally with key stakeholders and collaborators

3. Travel & Logistics

  • Arrange complex domestic and international travel
  • Prepare detailed itineraries and ensure all documentation (visas, tickets, accommodations) is complete and up to date
  • Occasionally accompany Dr. Kuo on trips to ensure seamless execution

4. Personal Errands & Lifestyle Management

  • Grocery shopping, dry cleaning, personal appointments, vendor coordination, etc.
  • Liaise with household staff and external services (e.g., TaskRabbit, delivery companies, repair technicians)

5. Event Planning

  • Support in planning high-touch work and family events, private dinners, milestone celebrations, and health retreats

6. Social Media & Digital Presence (Support Role)

  • Collaborate with the internal social media manager to support ad hoc content capture, DMs, and community engagement
  • Occasional content posting or scheduling on behalf of Dr. Kuo

7. Miscellaneous & Special Projects

  • Provide creative solutions to improve workflow and optimize efficiency
  • Take initiative to identify and implement time-saving systems or resources
  • Handle occasional research, reservations, and bespoke concierge-style requests

Qualifications:
  • 3+ years experience in an Executive Assistant, Personal Assistant, or Chief of Staff-type role
  • Ultra-organized with exceptional attention to detail and time management
  • Tech-savvy; comfortable with scheduling tools, content apps, and digital workflows
  • Emotionally intelligent, trustworthy, and discreet
  • Flexible and adaptable to evolving priorities
  • Comfortable working both independently and collaboratively
  • Prior experience in a health, wellness, luxury lifestyle, or startup environment is a plus

Working Style & Expectations:
  • Hybrid schedule: primarily remote, with in-person responsibilities in NYC as needed
  • Occasional evening and weekend flexibility required
  • Willingness to travel occasionally for personal or professional engagements
  • Must be based in or near NYC and authorized to work in the U.S.
