The Real Estate Paralegal supports attorneys in all stages of real estate transactions, including purchasing, selling, leasing, and financing properties. The primary responsibilities include drafting, reviewing, and organizing legal documents, conducting title searches, managing closings, and ensuring compliance with local, state, and federal regulations. The paralegal also communicates with clients, title companies, lenders, and other stakeholders to facilitate smooth property transactions. This position requires a thorough understanding of real estate law, attention to detail, strong communication skills, excellent organizational abilities, multitasking capabilities, and professionalism. Confidentiality is key given the sensitive information and case details. The ideal candidate will have extensive experience in commercial real estate law and be capable of managing complex transactions with minimal supervision.

Essential Duties and Responsibilities:

Transaction Support :

  • Assists in the preparation and review of real estate contracts, including purchase agreements, leases, and financing documents.
  • Drafts and reviews documents related to property transactions, such as deeds, mortgages, and title documents.
  • Coordinates with clients, real estate agents, and other parties involved in transactions to ensure smooth processing.
  • Records the Deeds, both physically and electronically via e-recording services.
  • Maintains the escrow account, prepares escrow reports, wires funds, and monitors our real estate escrow accounts.

Title and Ownership Research :

  • Conducts title searches to verify the ownership of property and identify any liens, encumbrances, or other issues.
  • Prepares title reports and works with title companies to ensure proper documentation is in place.
  • Reviews and clears title defects to facilitate smooth property transactions.

Due Diligence :

  • Assists in conducting due diligence for property acquisitions, ensures that all necessary checks, inspections, and document reviews are completed.
  • Reviews zoning laws, land use restrictions, and environmental regulations related to real estate transactions.

Closing Assistance :

  • Prepares documents for real estate closings, including closing statements, settlement statements, and necessary legal forms.
  • Coordinates the closing process by scheduling meetings, ensuring all documents are signed, and ensuring that all required funds are transferred.

Legal Research and Compliance :

  • Performs legal research on local, state, and federal laws and regulations affecting real estate transactions.
  • Ensures compliance with real estate laws and regulations, such as land use and environmental regulations.

Document Management :

  • Organizes and maintains case files, contracts, and other important documentation.
  • Maintains confidentiality and integrity of sensitive real estate information.

Client Communication :

  • Acts as a liaison between the attorney, clients, government agencies, and other parties involved in real estate transactions.
  • Provides clients with updates on the status of their cases and transactions.

Administrative Assistant :

  • Maintains attorney calendar including all appointments, court deadlines, meetings, and all necessary dates.
  • Maintains and reviews all incoming correspondence, pleadings, etc. and calendars important dates and calculates deadlines for pleading and discovery responses.
  • Provides legal administrative assistance as needed including, but not limited to e-filing, sending conflict checks and opening new matters, inputting contact information into Interaction, submitting expense reimbursements for attorneys, processing vendor invoices, assisting attorney with CLE tracking and bar renewal registrations, etc.
  • Supports our administrative team to support attorneys as needed.

Skills/Knowledge Requirements:

  • Strong understanding of legal terminology, real estate verbiage, law, and legal procedures.
  • Knowledge of real estate software and document management systems. Strong computer skills; proficient in MS Office, MS Word, Excel, and case management software.
  • Must have strong organizational skills and ability to multi-task, be detail-oriented, and have excellent communication skills.
  • Ability to work effectively with all levels of staff and management.
  • Proficient in legal research and writing.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.

Education/Experience Requirements:

  • College degree or equivalent work experience.
  • Paralegal Certification a plus.
  • Minimum of 5 years of experience as a real estate paralegal, with knowledge of the real estate process.
  • Notary License.
