Job Description

Modern Litho is seeking a Recruiter/HR Assistant to join our Human Resources team. This hybrid role will combine recruitment and HR administrative responsibilities, supporting the full recruitment lifecycle while assisting with various HR functions. The ideal candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced environment. You'll play a key role in both sourcing and hiring talent, as well as providing administrative support to ensure smooth HR operations.

Key Responsibilities:

Recruitment Support:

  • Sourcing and Screening Candidates: Source candidates through job boards, social media, networking, and employee referrals. Review resumes and applications to identify potential candidates and conduct initial phone screens to assess qualifications and fit.
  • Interview Coordination: Schedule and coordinate interviews between candidates and hiring managers. Ensure all logistics are handled, such as booking interview rooms or virtual meeting links.
  • Candidate Communication: Serve as the primary point of contact for candidates during the recruitment process. Provide timely updates regarding interview status, feedback, and next steps.
  • Offer Management: Assist in preparing and extending job offers. Ensure all documentation is accurate and ensure the smooth transition from offer to hire.
  • Applicant Tracking: Maintain accurate candidate records and data in the Applicant Tracking System (ATS). Track key recruiting metrics and generate reports as needed.

HR Administrative Support:

  • Employee Onboarding: Assist with new hire onboarding by preparing paperwork, scheduling orientation sessions, and ensuring new hires have the necessary tools and information for a successful start.
  • HR Documentation and Record-Keeping: Support HR by maintaining employee files, updating records, and ensuring compliance with all legal and regulatory requirements. Assist with administering the company Employee and Charity Fund Committees.
  • HR Policies and Compliance: Assist with administering HR programs and policies, ensuring compliance with labor laws and company policies. Assist with any internal audits related to HR documentation, as needed.
  • General HR Assistance: Provide administrative support to HR staff, including scheduling meetings, preparing HR-related communications and documentation, and assisting with payroll verification.
  • Employee Engagement Support: Assist in coordinating employee engagement activities, events, and recognition programs to promote a positive workplace culture.
  • General Administrative Assistance: Greet and assist customers, vendors, applicants, and visitors at the front desk in a courteous and professional manner. Utilize the security camera system to verify the identities of individuals and ensure authorized access to the building.

Qualifications:

  • Education: Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
  • Experience: 1-2 years of experience in recruiting, HR administration, or a related role. Experience working with Applicant Tracking Systems (ATS) and HRIS is a plus.
  • Skills:
    • Strong communication skills, both written and verbal.
    • Organizational skills with a keen eye for detail.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software (ATS, HRIS).
    • Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
    • Familiarity with HR best practices and employment laws is desirable.
