We are seeking an Office Administrator to work in-person from our Nashville office alongside our operations and booking team. This is a full-time position for a highly organized, efficient, and proactive individual who thrives in a fast-paced, detail-driven environment and has a strong interest in the entertainment and live events industry.
This role is ideal for someone who thrives on structure, loves a good checklist, and enjoys being the person behind the scenes who keeps everything running smoothly. If you're the type who color-codes your calendar, anticipates problems before they happen, and finds satisfaction in staying ten steps ahead, this could be a great fit. Must have your own computer and a great attitude.

What you’ll be doing:
- Managing day-to-day office operations and serving as the internal point of contact for communication, scheduling, and logistics
- Processing mail, shipments, payments, and assisting with basic office-related troubleshooting (e.g., printer, scanner, internet, etc.)
- Overseeing vendor relationships and handling service updates or issues as needed
- Maintaining organized internal systems, including file management and process documentation
- Managing the office calendar, scheduling meetings, and sending reminders
- Issuing contracts, deal memos, and invoices for booked regional entertainment (template-based)
- Tracking outstanding paperwork and payments; following up on behalf of agents
- Communicating with clients as needed to coordinate event details or paperwork
- Supporting the team with proposal follow-up processes and ongoing client outreach
- Assisting with marketing initiatives, asset organization, and keeping team materials up to date
- Representing the company at events or artist performances when needed
- Participating in event prep, team-wide organization efforts, and other administrative projects
Desired Skills and Experience:
- Strong written and verbal communication skills
- Excellent time management and the ability to prioritize competing tasks
- Highly organized with strong attention to detail
- Comfortable with basic office tools and platforms (email, calendar, file management, video conferencing, etc.)
- Experience in or exposure to entertainment, live events, or client services is a plus
- A confident, calm problem-solver who can work independently and as part of a team
- A professional, friendly attitude and willingness to take initiative
